Uploading more documents does not resolve contradictory information in an AI assistant. Define which source is authoritative and when it applies. If a conflict cannot be resolved, the intended response should be a clear escalation rather than an unsupported definite answer.
Imagine that a current web page and an old brochure list different support hours. A fluent answer does not prove the assistant selected the correct hours. The organization first needs to resolve its own information conflict.
Assign an information owner
The person uploading a document may not be authorized to approve its content. Operations might own support procedures, a product lead might own service scope, and an authorized commercial team might own terms. The assistant administrator should not have to decide every policy question.
Define priorities by subject
FieldQuestion to settleScopeWhich product, service or period does this cover?AuthorityWhich team approved the information?DatesAre publication and effective dates different?RelationshipWhich earlier source does it replace?“The newest file wins” is not enough. A recent general presentation may not replace an older technical instruction that remains valid. Scope and approval must be considered separately from upload time.
Keep a conflict record
Record the question, the conflicting document names and the specific disagreement. Add the responsible decision-maker and resolution date. Then decide how obsolete information will be removed from the active knowledge base or clearly marked. Editing one answer without fixing the source can leave the same conflict elsewhere.
Design an honest uncertainty response
A possible response is: “Our sources contain different information on this point; our team needs to confirm the current terms.” This is a proposed design behavior, not a claim that an existing system already performs it. Test it before relying on it. Avoid turning uncertain prices, warranties or delivery conditions into definite commitments.
Run three checks before deployment
- Ask the same question in different ways and compare source selection.
- Ask explicitly about an earlier period to test the distinction between historical and current information.
- Use an unresolved conflict to check whether the escalation route is understandable.
When planning an AI customer assistant with BE Soft, discuss source ownership and approval alongside document quantity. Reliable answers begin with identifying the organization's authoritative information.
