From the outside, face recognition attendance looks simple: the student looks at the camera, their name appears on screen and a message goes to the parent. Inside those few seconds, though, the system goes through several steps until it is sure about one question: "Is this really that person?" Here is how the BE Soft Face Recognition System works at our institutions every morning, step by step.
1. The image quality is checked first
Before any matching happens, the frame passes a few checks. If the image is blurry, the person is too far from the camera, the face is turned too far to the side, or there is a second face of similar size in the frame, that frame is not used. The student is simply asked to look at the camera a moment longer. This step stops most bad records before they start.
2. The face is compared with registered students
From a suitable frame, the system extracts a numerical face embedding and compares it with those of the students registered at the institution. It does not only look at the most similar person; it also looks at the gap between the two most similar people. If the gap is not large enough, no decision is made.
3. An extra check for siblings and twins
When two very similar students come out as candidates, the system compares them one-to-one as well. If the distinction is not clear, it reports "not recognised". The kiosk evaluates several frames and all of them must show the same person. Because recognising the wrong person costs more than not recognising anyone, the system is deliberately tuned to be cautious.
4. Optionally, the student is asked "Is this you?"
With confirmation mode on, the kiosk shows the result and asks the student to confirm. No record is created and no message is sent until they do. If the student taps "No", that name is set aside for a short while and the system looks for another candidate. Confirmed, high-confidence recognitions can be added to the student's gallery over time, so the system gets better at recognising them day by day.
5. The record is created and the parent is notified
Once recognition is final, the check-in or check-out time is recorded and the parent receives a WhatsApp or SMS notification. The channel can be chosen separately for each event, and the message can go to both parents. At the end of the day you can also send a bulk dismissal message with one tap.
6. Late arrivals are tracked automatically
You can set a separate start time for each day, for example 08:30 on weekdays, 08:00 on Saturday and 10:00 on a Sunday with a mock exam. When a student arrives after that time, the system notifies the parent on its own. The management panel always shows who is in, who was late and who never came; past days and monthly summaries are one click away.
What do you need for an installation?
- A tablet or computer with a camera near the entrance
- The student list and a few clear photos of each student
- A notification channel: WhatsApp, SMS or both
A standard school or tutoring centre installation usually takes a few days, and recognition starts as soon as the photos are uploaded. If you would like to try it at your institution, write to us and we will plan the installation together.
