New glasses, a different hairstyle or a beard change may coincide with recognition difficulties. However, every appearance change does not require a record update. First distinguish an appearance-related issue from lighting or camera-position problems to avoid unnecessary changes to student profiles.
1. Repeat under comparable conditions
Ask the student to look at the camera from the usual distance with the face clearly visible. Check blur, backlighting and positioning outside the frame. Do not create a new account after one unsuccessful attempt. Keep a brief record of the conditions and times without turning observations into personal judgements.
2. Assess reflections on glasses separately
Strong lens reflections may affect the facial details captured by the camera. Compare small, controlled changes to lighting or stance. Do not make routinely removing necessary glasses the standard solution. Discuss suitable registration and capture conditions with the installation team for students who normally wear glasses.
3. Verify identity before adding a photo
Attach the new image to the correct student profile. Use distinguishing institutional record information when names are similar or siblings are registered. Only authorised staff should make updates. Adding an image to whichever name is suggested after a failed match can reinforce an incorrect profile.
4. Prepare a natural, current image
Use a clear, current photograph with the face visible. Avoid strong filters, beauty edits and dark environments. Ask support about the photo count and format required by your installation. Confirm the update method instead of unnecessarily deleting every existing photograph from the profile.
5. Validate after the update
Check recognition against the correct profile and review the resulting event. Decide beforehand whether the test will send a guardian message. Avoid arbitrary tests using other students’ images. If difficulties continue, describe the changed conditions to support rather than casually relaxing recognition settings.
