Mock exam days rarely follow the normal lesson routine. External candidates, different start times and room changes all affect attendance. Face recognition can support building entry records, while confirming that a student actually started the exam in the correct room remains a separate check.
1. Prepare the expected exam participants
Do not treat the entire institution’s student list as the exam roster. Identify expected candidates, sessions and external visitors. Provide a staff-controlled alternative for people who are not registered. If new candidates need registration photos, prepare these ahead of the busy arrival period rather than at the entrance.
2. Verify the exam-day start time
A Sunday mock exam may start at a different time from weekday lessons. BE Soft supports different entry times for different days. If several sessions run on the same day, confirm how your installation handles session-specific rules. One daily start time may not describe every exam accurately.
3. Complete entry records with room attendance
Passing the camera records arrival at the building; it does not establish that the student started the exam in the assigned room. Room supervisors should compare seated candidates with the expected roster. Record room changes, session changes and students leaving before the exam separately.
4. Make guardian messages reflect the event
Clearly identify exam-day building entry and its time. Do not describe an entry notification as proof that an exam was attended or completed. If a bulk exit action is used, check actual departure status first. Validate sample messages using internal test recipients before operational use.
5. Reconcile missing records after the session
Compare the expected roster, building entries and room attendance. An unrecorded arrival, a roster change and a genuine absence are different situations. Avoid labelling every discrepancy as absence. Keeping the reason and staff responsibility for a correction clear improves the next exam’s preparation.
