In a multi-branch tutoring institution, a student may attend different buildings on different days. Entry and exit tracking therefore needs more than a matching name. The branch attached to each event, who can view it and what location guardians receive should all be agreed before rollout.
1. Define the student-to-branch relationship
List each student’s main branch and any programme at another location. Keep class changes separate from branch transfers. A student attending weekday lessons at branch A and a Saturday exam at branch B may not need duplicate profiles. Confirm how the proposed installation represents this arrangement with the software team.
2. Do not assume a shared dashboard exists
Separate installations do not automatically provide central management. Ask about consolidated views, cross-branch permissions and record sharing during scoping. A director viewing all branches and a receptionist viewing one branch are different requirements. Describe the screens you need through concrete operating scenarios.
3. Identify the branch in notifications
Guardians should understand which building a student entered. Include the institution or branch, event type and time in the message design. Test what happens when the same student visits two locations. Use institution-controlled test recipients rather than sending experimental messages to actual guardians.
4. Compare reports using consistent definitions
Lesson start times and operating days may vary by branch. Attendance comparisons should use expected participation days, not raw entry counts alone. Check how transferred students appear in reports covering the old and new programmes. Document the comparison period and exclusions before presenting results to management.
5. Run a small two-branch pilot
Choose a main branch and an alternative programme. Test entry, exit, an unexpected location and student-list updates. Assign responsibility for corrections and record the process. Copying untested settings to every branch can spread a small student-list mistake across the entire institution.
