How to Update Face Recognition Student Records for a New Term

A new term may not require enrolling every student again, but using an unchecked old list can create problems. Class changes, parent numbers and departing students affect reports. Plan the transition as a separate task that preserves record consistency.

1. Compare current lists and existing profiles

Use the institution’s approved list. Distinguish continuing, new and departing students by institution ID. Different people can share names. Do not merge records or create profiles based on name similarity alone. Responsible staff should review uncertain cases.

2. Preserve continuing students’ identity

Creating a second profile for a class change can separate historical and new records. Use the supported update method. Ask how term information appears in historical reports. Check that a new class assignment does not lead to incorrect interpretation of earlier events.

3. Review photos and parent details

Update photos where appearance has changed significantly or enrollment images are inadequate. Assess need rather than replacing every image automatically. Confirm numbers, recipients and channels. Pay particular attention to preventing another family’s number from being attached to a new student.

4. Manage departing students appropriately

Check whether former students remain in daily lists or notification recipients. Active use, archiving and deletion are different actions. Responsible institutional staff should decide access and retention; one standard duration is not necessarily suitable for every institution. Unauthorized staff should not remove history casually.

5. Test a small group before opening

Test new students, class changes and updated details at the actual kiosk. Verify identity, group and parent recipient. Separate test events from real attendance. Assign an owner and tracking list for corrections during the first week.
