Reception staff, institution managers and technical support do not need identical actions. Giving everyone the same administrator account can make it difficult to establish who changed a record. A permission plan should specify the screens needed for each task and responsibility for changes.
1. Define tasks before assigning screens
Who adds students, confirms guardian numbers, reviews reports and changes settings? Write these as responsibilities rather than starting with staff names. One person may hold several tasks, but each action should have a clear owner. Compare available roles against this task list.
2. Separate viewing from editing
Viewing today’s entries does not necessarily require changing student photographs or notification recipients. Viewing reports and exporting them are also different actions. Confirm which distinctions the existing software supports. Do not base staffing procedures on a permission control that has not been verified.
3. Ask for accountable account use
If your installation offers individual accounts and activity records, consider them. Shared accounts require more careful handling of staff changes and responsibility. Clarify available account options with BE Soft. Avoid making open notes or shared messaging groups the routine place to distribute passwords.
4. Add checks for consequential changes
Changes to recipients, registration photographs and notification rules can create incorrect records or messages. Establish an institutional check, such as review by another authorised member of staff. Do not assume this is an automated approval feature. Describe software controls and staff procedures separately.
5. Review access when staff roles change
An authorised manager should review access that is no longer needed following a role change or departure. Train new staff using a test record. Periodically compare assigned responsibilities with access. Where technical support needs access, agree its purpose, scope and duration in advance.
